Automated Recruitment Pipeline Across Workable, Culture Index, ClickUp & Slack
Connected the whole hiring pipeline so candidate data, scoring, and review happen without anyone re-typing it.
Manually checking survey status, copying scores into ClickUp, and re-checking candidates who'd gone quiet
~8 hrs/week
The Challenge
Recruiting ran across five tools that didn't talk to each other: Workable for applications, Culture Index for personality assessments, ClickUp for tasks, Airtable, and Slack. Recruiters checked by hand whether a candidate had finished their Culture Index survey, copied scores into ClickUp manually, and circled back days later to see who'd gone quiet. Different hiring sources (general applicants, a TalentVoyager campaign, Rex-sourced candidates) needed different review channels with no automatic way to route them, and there was no single view of the day's activity without compiling it by hand.
The Solution
I built and connected a suite of n8n workflows that automate the whole candidate lifecycle. When someone applies in Workable, they sync to Airtable right away. A scheduled sync pulls Culture Index results every two hours, matches them to the candidate by email, and updates Workable and Airtable, with a run-lock so overlapping syncs can't corrupt data. A separate job tags candidates once their results are in, and another flags anyone who hasn't finished their survey after 7 days. When Culture Index posts a result, a webhook-driven workflow pulls every trait score into ClickUp, applies the team's real scoring thresholds to auto-advance or reject candidates, runs an AI pass over supporting documents, and posts to the right Slack channel based on which pipeline the candidate came from. Recruiters review new candidates without leaving Slack: a scheduled workflow builds an interactive card with the candidate's Workable and Culture Index data and sends it as a DM or channel post, and a webhook handles the approve/reject click directly. Recruiter activity gets logged both as it happens and on a scheduled backfill, feeding a daily scorecard. A full reporting cadence, a 6AM interview preview, a 5PM scorecard and hiring alert, 5:05PM interview results, a Friday weekly summary, and a daily disqualification report, posts straight to Slack on schedule. A weekly cleanup keeps the scorecard data from piling up, and an urgent pipeline tracker flags time-sensitive hiring phases as they change.
How It Works
The Results
Candidate data now flows from Workable to Airtable to ClickUp on its own instead of getting copied by hand at every stage. Culture Index follow-ups happen on schedule instead of depending on a recruiter remembering to check, and candidates who've gone quiet get flagged after 7 days without anyone tracking it manually. Review happens right inside Slack instead of needing a separate session, and every hiring source routes to the right channel by itself. The team gets the full day's hiring picture, schedule, results, scorecard, disqualifications, delivered to Slack on a fixed schedule instead of someone assembling it by hand.
Tools & Technologies Used
How To Create This
- Trigger a sync workflow from the Workable applicant webhook that upserts the new candidate into Airtable
- Build a scheduled workflow that pulls Culture Index survey results every 2 hours, matches candidates by email, and batch-updates Workable and Airtable — guarded by a run-lock to prevent overlapping executions
- Add a follow-up workflow that tags candidates as "no CI response" after 7 days so recruiters know who's gone quiet
- Build a webhook-driven workflow that extracts every Culture Index trait score into ClickUp custom fields, applies score-threshold logic to auto-advance or reject candidates, and calls an AI model to process supporting documents
- Route the Slack notification to the correct channel (hiring-reports, TalentVoyager, or Rex) based on which pipeline the candidate came from
- Build a Slack-native review flow: a scheduled workflow sends an interactive candidate card as a DM or channel post, and a separate webhook parses the reviewer's button action and applies the decision
- Log recruiter activity both from live Workable events and a scheduled backfill sync, feeding a shared recruitment scorecard
- Schedule the full reporting cadence (6AM interview preview, 5PM scorecard + hiring alert, 5:05PM interview results, Friday weekly summary, daily DQ report) to post directly to Slack
- Add a weekly cleanup job to trim scorecard data older than 3 months, and an urgent pipeline tracker to alert on time-sensitive phase changes
