Closed-Loop Sales Automation System Across Calendly, Close CRM, ClickUp & Slack
Connected five disconnected sales tools so a single Calendly booking updates all of them on its own.
Manually creating leads in Close, opening ClickUp audits, logging meetings in Airtable, and pinging reps before every call
~10 hrs/week
The Challenge
The sales team ran its pipeline across five tools that didn't talk to each other: Calendly for booking, Close CRM for leads, ClickUp for onboarding audits, Airtable for meeting logs, and Slack for team chat. Every new booking meant a rep manually creating the lead in Close, opening an audit task in ClickUp, logging the meeting in Airtable, and remembering to ping the assigned rep before the call. Audit requests between sales and fulfillment kept falling through the gap between Close and ClickUp since nothing kept the two systems in sync, and nobody could see which leads were hot without pulling a report by hand at the end of the day.
The Solution
I built and connected a suite of n8n workflows that turn one Calendly booking into a fully automated pipeline. A Booking Handler tells a first-time booking apart from a rebook and creates the right ClickUp audit task, Slack ping, and gamified streak update. At the same time, a Lead Capture workflow finds or creates the lead in Close CRM, opens the opportunity, and moves the pipeline stage, while a Meetings Sync workflow logs the booking into Airtable. A scheduled Pre-Call Alert workflow checks both reps' Google Calendars, matches each event to its Close CRM lead, and hands off to a Slack sub-workflow that pings the rep and writes the message ID back onto the lead so it never gets double-alerted. Once the rep logs the call outcome in Close, a workflow posts a Slack summary, drafts a Google Doc of the notes, and updates the lead's qualification tags in Airtable. A two-way Audit Request / Audit Finished pair keeps Close CRM and ClickUp synced automatically, deduping existing tasks before creating new ones and writing ClickUp's finished audit data straight back onto the Close lead. A nightly job marks past meetings complete in Airtable, and a daily job posts a hot-lead and ad-spend digest to Slack for the whole team.
How It Works
The Results
Every booked call now flows through Close CRM, ClickUp, Airtable, and Slack without a rep typing the same info four times. Pre-call reminders go out on their own based on two reps' real calendars instead of relying on someone to check. The audit hand-off between sales and fulfillment stays synced in both directions instead of depending on a manual status update, and leadership gets a daily hot-lead and metrics digest in Slack instead of someone compiling a report by hand.
Tools & Technologies Used
How To Create This
- Trigger a Booking Handler workflow from the Calendly webhook that checks ClickUp/Airtable for a prior booking and branches between first-booking and rebook logic
- Run a parallel Lead Capture workflow that searches Close CRM for the lead by email, creates it if missing, opens the opportunity, and moves the pipeline stage
- Run a parallel Meetings Sync workflow that upserts the booking into an Airtable Meetings table
- Build a scheduled Pre-Call Alert workflow that merges multiple reps' Google Calendar events, matches each to a Close CRM lead, and dedupes against leads already alerted
- Split the Slack notification into its own sub-workflow (Execute Workflow node) so the alert logic and message formatting are reusable, then write the Slack message ID back onto the Close lead
- Listen for the sales rep's call-outcome webhook from Close CRM and use it to trigger a Discovery Call Capture workflow that posts a Slack summary, creates a Google Doc, and updates Airtable qualification tags
- Build a two-way Audit Request / Audit Finished pair: one workflow creates or comments on a ClickUp task from a Close CRM activity, the other listens on the ClickUp trigger and writes completed audit data back to the Close lead
- Add a nightly scheduled workflow that marks past Airtable meetings as completed, and a daily scheduled workflow that assembles a hot-lead and ad-metrics digest and posts it to Slack
